Artificial intelligence for nonprofits
Heartwood Intelligence
AI built on your own documents. Not a chatbot bolted to your website — a way of keeping what your organisation knows when the people who know it move on.
The knowledge problem nobody budgets for
The defining operational risk of a small nonprofit is that everything important lives in one person's head. The funder relationships, the grant history, the reason a programme was designed that way, what was tried in 2019 and abandoned. Turnover is high, handovers are rushed, and each departure takes years of context out of the door.
Intelligence is an AI layer grounded in your own material — grant applications, reports, programme notes, correspondence, field data — so the organisation keeps what it has learnt.
What it includes
- Grant writing drafted from your real history, not generic filler
- Funder reports generated from your programme data
- Impact narratives built from field notes and photographs
- Donor segmentation and tailored communications
- Multilingual intake and translation, including Tamil and Telugu
- An institutional knowledge base with sources attached
- Staff training on using it well, and on where not to trust it
Where we tell you not to use it
We are deliberate about the limits. AI drafts, people decide. Anything going to a funder, a regulator or a family gets human review, and we build the workflow to assume that rather than hope for it.
We also do not put participant data into systems that would train on it, and we will say plainly when a task is one AI does badly. An organisation that over-trusts these tools will be worse off than one that never adopted them.
What you end up with
- Grant applications drafted in hours rather than weeks
- Institutional memory that outlasts individual staff
- Reporting that stops consuming programme time
- A team that understands both the use and the limits
Delivered by an independent implementation partner we refer you to, chosen for what your organisation needs. Every engagement begins with a free Groundwork assessment.
